Description of the goods or services required

Our current Enterprise Document and Record Management system (ERDMS)(Opentext – LiveLink) – a keystone of our information infrastructure – is over ten years old. Advances in technology have produced solutions that now better meet our current and future needs.

Approximately three years ago, as part of our efficiency programme, we took the strategic decision to implement SharePoint. Since then we have developed more applications on, and connected to, SharePoint resulting in significant increased use by staff.

The next key stage for us is the migration of all documents and records held in the existing ERDMS into our SharePoint environment.

After a successful proof of concept we have chosen to implement a SharePoint/RecordPoint solution to meet the Councils EDRMS requirements.

The contract we are looking to award includes a number of key deliverables including:

• Information Architecture

• Records Management

• Migration (of existing data)

• Gifts (interfaces with our grants management system)

• iPOS (interfaces with our electronic purchase order system, and associated linkages to finance system)

• Email

• Scanning of physical documents

The Council will enter into a procurement event September 14th 2015. See additional information for the full procurement schedule.

The contract will deliver a SharePoint/RecordPoint architecture to manage all of the Councils information assets in line with requirements. It will include professional services and solutions for –

• Analysis and design of information architecture

• Analysis, design and delivery of migration of all documents and associated metadata from LiveLink to SharePoint/RecordPoint

• Deliver RecordPoint rule sets.

• Gifts interface analysis, design and delivery.

• iPOS interface analysis, design and delivery.

• Licensing for Email document solution

• Licensing and support for RecordPoint implementation (SharePoint licenses already purchased)
