Whg requires IT service and supplies namely; software licence resellers, hardware suppliers, infrastructure cabling provision, non-core systems consultancy, support of audio — visual solutions and penetration testing services. whg IT intends to award a 5+5 year contract to a single supplier to be the preferred partner for all these services and solutions. The supplier will be expected to deliver Value for Money to whg and to simplify and expedite the procurement process across the stated services and solutions.

The ideal supplier will be able to evidence extensive knowledge of — and commitment to –the social housing sector and their ability to link this to whg’s current and future direction of technology. The partnership will be built on a culture of proximity working, constructive challenge and continuous improvement allied to a strong focus on using the best available technology in the delivery of services to both customers and colleagues.

II.2.4)Description of the procurement:

WHG is looking to partner with a single supplier who can deliver our day to day IT requirements and provide management solutions that are fit for both present and future needs. The fundamental criterion is to partner with a supplier that can directly support our internal IT Team. Suppliers will need to be able to demonstrate that they can provide direct support with a minimal need to sub contract or use 3rd parties.

WHG IT is in a three year transformation programme to align the IT function with the corporate plan — of which a revised version was released in April 2017.

WHG have a number of in-flight strategic projects, the significant areas being –

— Workforce mobilisation — there are currently 2 projects in place to equip the housing and trade colleagues with the technology and connectivity to perform their role fully away from the office.

— WHG are working to update many technologies and legacy systems, the aim is to migrate all or most systems into ‘the cloud’ preferably via SaaS solutions but to facilitate this there are a number of core infrastructure upgrades planned to take

place including a total LAN, WAN, WLAN refresh and a complete rebuild of Active Directory.

— Channel Shift is underway with a desire to move much of our avoidable customer contact into cheaper to operate channels, such as making payments online rather than via a telephone call to a contact centre colleague.

WHG IT team have a substantial amount of developments ahead, some projects in particular are –

— Exit the high capital cost of IT infrastructre by moving 80 % of systems into the cloud.

— 70 % of our routine customer contact will be delivered through self service.

— Our operaton costs per home will be a minimum of median quarile compared to our peers.

— Explore at least two innovative opportunies each year to further our work.

— Equip colleagues with the right technology to meet the future needs of the business.

Requirements within this tender –

There are a number of areas which have been identified by whg where services and solutions required by this tender will fall into. whg are not looking for a supplier to offer a managed service across all these services but for a single supplier to be able to provide all 6 services via their internal structures.

The provison of IT consultancy services including but not limited to:

— Office 365

— Back up as a service

Supply of hardware including but not limited to:

— Screens

— Headphones / Headsets

— Display equipment

— Reception management systems

— LoT Technology

— Room Booking systems

— Electronic door entry systems

Penetration Testing Services

— Penetration testing services for on-site physical security

— Penetration testing services to PCI-DSS standards for offsite and onsite security services

— Ad-hoc Pen testing services as required Infrastructure Cabling

— Supply and installation of category 5e, 6 and 6a and 7 data cabling.

— Testing, fault diagnosis and resolution of category 5e, 6 and 6a and 7 structures data cabling.

— Provision and maintenance of test results for structed data cabling.

Audio/Visual Support Services

— Configuration and support of AV screen sharing equipment

— Support of Audio equipment / microphones.

The fixed term Contract Agreement will commence on or around 1.10.2017. The term will be for an initial period of 5 (five) years. The contract will be extendable up to a maximum of 5 (five) years by one or more extensions of whatever period(s) the Client specifies subject to satisfactory performance by the provider. The total contract term will not exceed 10 years.
