Description of the goods or services required

The Scottish Prison Service (SPS) is an Agency of the Scottish Government Justice Department and currently operates sites across Scotland. In addition to the prison establishments, the SPS also operates a college, a central store and an administrative headquarters building. The SPS Sites range from Inverness & Peterhead in the north to Dumfries in the south. The SPS is currently embarking on a long-term development plan for its estate and this may mean that during the life of this contract the SPS may add or remove prisons during the Contract Term. The SPS (HMP Inverness) require Video Conferencing facilities to allow multi-disciplinary meetings and case conferences to take place when face to face meetings are not an option. This is an important part of a prisoner’s preparation for eventual release and re-integration back into the Community. Video Conferencing facilities are currently operational in a number of SPS establishments.

The intention of this request for quotation is to award a Contract for a 1 year term [with extension option of up to 1 year] for the provision of Video Conferencing system(s). There is an initial requirement of a Video Conferencing facility for HMP Inverness. This Contract would facilitate any further adhoc requirements for video conferencing of a similar specification. The SPS will not guarantee annual volumes for individual Goods and Services throughout it Sites. Similarly, there will be no guarantee of minimum order quantities or values.

Suppliers should note that the use of wireless devices or wireless connectivity is strictly prohibited within SPS Establishments. So any solutions being proposed by Suppliers must exclude these options (i.e. wireless devices or wireless connectivity).
