Description of the goods or services required

The College holds one main graduation ceremony each year in Perth Concert Hall, Perth. This is a flagship event for the College and requires the highest levels of professionalism and attention to detail to ensure a high quality and memorable event for the graduating students. The date of the graduation ceremony for 2013 is Friday 4 October.

The total number of students eligible to graduate varies each year, but is approximately 800. However, experience indicates that around 200-250 actually attend the Ceremony.

We are looking for an IT solution which will match registering students with an uploaded list of those eligible to graduate; automate and simplify registration and payment in advance of the ceremony; and on the day of the ceremony, register and track students from first arrival at the venue to crossing the stage to receive their awards.

Additional Information

The Graduation Ceremony will be on 4th October 2013

All responses received will be evaluated using the stipulated criteria.

1 A full evaluation will be carried out of all tenders.

2 The 4 bidders receiving the highest overall scores will be invited to present their solutions to a panel of staff involved in the organisation of the ceremony. This presentation will be also be evaluated.

3 Presentations will take place on Tuesday 5 February and should last no more than 20 minutes with a further 25 minutes being allocated for question and answer session.

4 A Smartboard and data projector will be available for presentations.
