Description of the contract

The Chamber is seeking an ICT systems provider to develop, install and implement a CRM solution, and then to provide ongoing support, to complement organisational development arising from our strategic plans. We have identified a requirement to improve the way we manage relationships with our customers, members in particular. A fundamental part of this is the replacement of our CRM system. The aim is to streamline existing processes and data processing that is currently fragmented across a number of databases/spreadsheets. The solution should:- • Be flexible and customisable to adapt to our business processes. • The ability to hold data on and track activities against, companies, individuals and training participants. • Include an import tool to allow inserting/updating of records within the CRM system from an external source. • Enable marketing activity and communication to be integrated with the CRM system to facilitate better use of intelligence. • Minimise dual keying and duplication between systems utilising an industry standard interface method and interoperability where possible. • Enable improvements to the existing processes for website enquiries / registration and event booking with a view to streamlining and data feeding directly into the CRM database with appropriate automated notifications. • Enable improved integration with Outlook. • Be user friendly with an intuitive, accessible user interface. • Include an intuitive report writing tool that is not dependant on specialist skills, and which can produce scheduled/automatic and adhoc reports. • Include details of ongoing support and maintenance that would be offered to the Chamber once the initial project has been implemented. • Take account that the Chamber is a not for profit organisation so obtaining value for money is an important consideration.
