Description

Leicester City Council is currently in the process of procuring two major systems, the first being a corporate Finance solution and the second being a corporate HR/Payroll solution, to provide a full range of functionality in the operational areas of Finance and HR / Payroll.

The procurement process is yet to conclude, however, in advance of the completion of this process, the Council would like to explore all options available in the market surrounding data archiving solutions, should the Council have to replace both current systems in situ.

The current systems both have attached to them large repositories of data and as part of the forthcoming potential implementation of the replacement systems a project of data migration has been identified.

One of the high level options available to the council is to explore the possibility of a third party providing an archive service for information currently held that would not be required to be directly migrated to the replacement system i.e. historic records still required for comparative reporting purposes, historic records no longer live which have a statutory requirement to retain data for long periods of time etc.
Leicester City Council is keen to explore all options and solutions that are currently available in the market, for the electronic archiving of data and provisions to access this data for reporting and/or operational purposes, to include but not limited to;
• Provides an accessible repository for archiving data at the point of implementation of the replacement system
• Provides an ongoing solution to archiving following implementation of the replacement system
• Meets all statutory and Leicester City Council policy requirements in terms of data retention
• Meets all legislative requirements in terms of data protection and security
