OakleeTrinity Limited wish to procure a van leasing contract. The Associations requirement is for the maintenance inclusive lease supply of 12 no. vans. The price will be for ‘on the road’ delivery, inclusive of number plates, VAT, any other first DVLA requirements and all other extras specified.

II.2.1)Total quantity or scope:

OakleeTrinity Limited wish to procure a van leasing contract. The Associations requirement is for the maintenance inclusive lease supply of 12 no. vans. The price will be for ‘on the road’ delivery, inclusive of number plates, VAT, any other first DVLA requirements and all other extras specified.
There are 2 size categories of vans to be supplied.
Type A Load Capacity 4-5.5 M3 7 NO.
Type B Load Capacity 5-7 M3 5 NO.
1. Engine Type:
The preferred engine will be 1.6 – 2.5 diesel turbo but should not exceed 120 PS.
2. Security:
A Thatcham Cat 1 Perimeter alarm system will be fitted.
3. Communication:
Blue tooth connectivity is required.
4. Colour:
The required colour is White.
5. Trim:
The interior rear of the van, floor and walls and door backs, to be trimmed with ply or other smooth faced board.
6. Decals/Livery:
The successful supplier will allow a PC sum for the supply and fitting of Associations decal/livery.
7. Audio:
An embedded stereo radio is required.
8. Roof Rack
A roof/ladder rack is required on Type B vans
9. Tow Bar:
Some vans may require a tow bar, the successful supplier will provide a pc sum to allow a tow bar to be fitted.
12. Tracking System:
The successful supplier will ensure that all vans supplied are fitted with a tracking device that will allow cloud based access by the Association to monitor the vans usage. Any monthly/annual charges for the service, along with a comprehensive training session for staff must be included within your quotation.
13. Delivery:
Suppliers must indicate an estimated delivery date.
Inclusive maintenance requirements.
The successful supplier will be responsible for the servicing, maintenance (including tyre replacement) and PSV scheduling and testing of the vehicles during the lease period.
Replacement vans:
The successful supplier will ensure that spare vehicles of a similar standard and size are available to Association staff when vans are recalled for service/repair requirements.

The cost of responding to the invitation to tender and participation in the procurement process generally will be borne solely by each economic operator participating. Economic operators should note that the Contracting Authority reserves the right to cancel this procurement process at any stage. Any expenditure, work or effort undertaken prior to the contract award is at the sole risk of the economic operator participating in this procurement process. All discussion and correspondence will be deemed strictly ‘subject to contract’ until a formal contract is entered into. The formal contract shall not be binding until it has been signed and dated by the duly authorized representatives of the parties. Any date given in Section IV) above is a best estimate at the time of despatch. The Contracting Authority reserves the right to extend any such date. Further to Section IV.1.2) above, and for the avoidance of doubt the number of Economic Operators who will be invited to tender will be restricted to (6) Economic Operators. The estimated value of the works contract to which this notice relates falls below the relevant financial threshold under Directive 2004/18/EC (as amended). Neither the publication of this Notice nor the employment of any particular terminology or any other indication shall be taken to mean that the contracting authority intends to hold itself bound by Directive 2004/18/EC (as amended) as implemented by the Public Contracts Regulations 2006 (as amended).
