Advice and Support to develop use of SharePoint 2010

Description of the goods or services required

The Council has implemented Microsoft SharePoint 2010 as its corporate Electronic Records & Document Management System (EDRMS) solution, to operate alongside other service-specific systems (e.g. IDOX/W2).

As early adopters of this product, although initial consultancy was provided, a lot of the knowledge of how to build and use the product has been developed in house.

The product has been rolled out to several departments of the Council but an internal review has highlighted that the current build may not be providing the best end result for the user or the efficiencies identified at the beginning of the project.

The Council is seeking to obtain advice and support from providers that have extensive experience of working with Local Government organisations on the following aspects:

– Future design and build solution

– Advice and training on building and deploying SharePoint 2010

– Ongoing support on problems/issues encountered

The key objectives of introducing SharePoint 2010 to the council are:

– The ability to share information across the organisation

– Introduce process driven tools to assist the flow of work tasks

– Access to information electronically, reducing document retrieval times

– Ability to work more flexibly and enable new ways of working

– Ability to scan mail and associated documents at source

– The ability to share information and tasks across service areas electronically, reducing internal mail and thereby process times

– Retention of records to be managed as part of the process

– A reduction in paper storage requirements

In addition to SharePoint 2010, additional third party products have been purchased to ensure we have a full end to end solution. These products are Knowledge Lake (provides a comprehensive document imaging and capture solution for managing documents being scanned into SharePoint) and TITUS (their Metadata Security solution enhances SharePoint security by automatically applying permissions to sensitive documents and lists based on their metadata).
