Description

Annual maintenance support contract on existing IP412 Avaya system 200 handsets and Voicemail PC at the Leicester LCB Depot, Rutland Street in Leicester City, LE1 1RE.

BUSINESS PURPOSE

The LCB Depot, which is a multi- tenanted building / business centre with 55 workspaces in Leicester’s cultural quarter, requires a rolling annual contract for maintenance and support on its existing phone and voicemail system. This will enable them to ensure their existing system is maintained constantly, with no disruption to the business tenants in the building, whilst enabling them to access and consider the market options on upgrading the current system.

PROJECT SCOPE

The LCB Depot currently has an Avaya IP412 with 200 handsets and voicemail PC in place in their business tenant occupied building, which is located on Rutland Street in Leicester City, LE1 1RE.

Due to budget restrictions, there are no current funds to replace and upgrade the current system, and thus the requirement for an annual rolling contract is required.
The intention is to commission a partner that is capable of providing technical support cover for a minimum level requirement of the hours 9am to 5pm Monday to Friday inclusive. LCB Depot will require an email address and telephone number to call direct with any issues.

Response times need to be set and agreed in an SLA in relation to level of the individual issue, alongside an agreed cover plan for any infrastructure going down.
The contract will also need to carry the calls and cost for monthly billing. A PC on site hosts the manager interface program and the voicemail software and uses a program called Callista that enables LCB Depot to recharge at their own set of prices to the tenants.

A requirement of also supplying back up replacement for any of the telephony kit held at the LCB Depot, this is listed in specification below.
