Description of the contract

The BFI requests expressions of interest from suitably qualified organisations to provide a full service solution comprising of airtime, hardware provision, operational and after sales service and support. The BFI currently have a fleet of 97 mobile telecommunication devices (although this number is subject to change) and are looking for a provider to supply a complete refresh of its handsets and accessories alongside a highly competitive tariff that meets the needs of the BFI that includes international roaming for some of our users. Internal consultation will continue during the Pre-Qualifying stage as to the exact type and quantity of handsets that are required in the final contract and this will be confirmed in the Invitation to Tender. The BFI also runs two film festivals each year with the London Lesbian and Gay Film Festival taking place in March and the London Film Festival, which is the UK’s largest public film event, dedicated to screening the best of international contemporary cinema, alongside key Archive restorations, taking place in October. It welcomes audiences of over 130,000 during the course of 16 days in over 10 venues across the city. It screens approximately 200 feature films, 120 short films, and has a number of special events. The programme ranges from red carpet world premiere gala screenings visited by ‘A list’ talent, through to European and World cinema, including documentaries. During the festivals the BFI has a requirement to take a small number of ‘short term’ temporary rental handsets for the staff that support these festivals. This would most likely be no more than 30 units per festival and would be required for a period of a month. There may also be other small requirements throughout the year as our staff travel abroad to attend other international festivals and on any other work related business The BFI operates out of 5 sites, 3 of which are in London and sites outside of London, in Hertfordshire and Warwickshire. The sites outside London have proven challenging in terms of receiving mobile signals and we would like to work with our chosen provider to find solutions to improve on this. The BFI is also working towards an integrated telecommunications solution and the selected handsets will be expected to work alongside the solution. The aim of the BFI is to have the new contract awarded by the end of July 2012.
