Project Coordination and Promotion of an INTERREG IVB NEW Project Entitled SHARE. Procurer reference: SHARE1
It has come to our attention that an additional attachment was omitted the original notice (ref SHARE1) on the SELL2WALES website.
In the spirit of openness and transparency the attachment has now been added to the site.
Due to this additional information we understand that those providers that have already requested the tender document
may wish to amend their submissions, and some new providers may decide to submit a proposal. In light of this
we intend to extend the close date until 24/04/12.
The services being provided include the following listed below: The winning contractor will be expected to provide these services on a phased, mentoring basis, i.e. to provide project related templates at the outset of the project, to provide a high level of support and assistance to both Lead Partner and subsequent SHARE project partners throughout the course of the project.
I. To take responsibility for the coordination of the SHARE project on behalf of the Lead Partner and to work with all partners to assist them in the delivery of their project responsibilities in accordance with the approved application for funding.
II. To provide ongoing management and collation of all documentation required to comply with the conditions of the grant award by the managing authority and the Lead Partner First Level Control Auditor.
III. To act as the secretariat on behalf of the lead partner to all the partners for all transnational meetings, exchange visits and workshops.
IV. To project manage and contribute to the development and production of all products specified in the approved application for funding and to support the development and delivery of the five work packages and communication plan.
V. To complete all the project related requirements necessary to complete the project in compliance with the managing authority and Lead Partner First Level Control Auditor
VI. To take overall responsibility for financial management of the project reporting to the Lead Partner’s Financial Administrator in and to work with the partners to assist them in the delivery of their financial management functions.
VII. Assist the project manager in planning and organising 6 monthly International Steering Group Meetings to review outputs and work packages and lead on the review of claims and forecasts to ensure that all partners are clear about their progress and what budgets remain.
VIII. To collate all financial information for 6 monthly claims, to review all partner claims for eligibility of spend, correct figures and adequate evidence and to prepare the overall claim, organise the claim audit and respond to any queries relating to this claim from the First Level Controller or the project secretariat.
IX. To ensure that all Financial Information for claims is filed in an orderly way with adequate supporting information so that it is available for any Second Level Control inspections that may arise during the life of the project, and be available to answer any queries that may arise from such inspections.
X. To gather all supporting financial documentation requested by the funders
XI. To provide regular guidance to all partners on the rules and regulations in respect of financial controls for INTERREG IVB projects.
XII. To support the financial manager on all matters related to the SHARE INTERREG IVB Project and liaise with the JTS as deemed necessary.
