Provision of a Case Management System
The Legal Services Department of Hull City Council requires a case management system with a centralised database and document management and assembly. The system shall follow administrator prescribed workflows and precedents. It shall have the ability to create new cases with unique case numbers. It shall have the ability to create letters, documents, legal briefs (document bundling) and emails, memos, telephone attendance notes, reminders, tasks, etc and to associate such items with a particular case in an organised fashion, re-using key case information that is entered once only. The system shall have the ability to save incoming scanned documents and emails and associate them with a particular case. Digital dictation is also required as part of the system with the ability for an author and/or supervisor to monitor the dictation workload and reassign dictation to typists as and when required. Data Migration is required from the previous database. The system shall either be compatible with the existing IT infrastructure and software used or the tender will be costed to include the cost to convert the existing infrastructure and/or software to what would be required if necessary. The system shall be user friendly, flexible and support high levels of traceability & control. The provider shall offer a high level of support (Training, helpdesk and support) and offer regular updates/upgrades.
