Description of the contract

The production and issue of life–event certificates is a key output for IPS and the retrieval of microfilms from these machines forms an integral part of the production process. Some of the machines currently used by IPS for the storage and retrieval of the microfilms have reached their end of life and the cost therefore of maintaining these machines and fitting replacement parts no longer offers value for money. It is therefore necessary to replace these machines. The machines should be replaced on the basis of “like for like” or to the specification received. The machines should not exceed the size and weight of the details given and include all required aspects. The Linfile machines store the birth, marriage and death microfilm cassettes used by Certificate Production to produce certificate entries. The Linfiles are currently used 6 days per week, Monday – Saturday including an evening shift Monday – Friday, between the hours of 07:00 and 22:00. Each machine holds 11,700 tapes. Each machine is made up of 30 shelves, with each shelf holding 26 tape boxes. Each box contains 15 individual tapes measuring 11cm wide x 10.5cm high x 40cm long. This weighs, on average, 2.3kgs. Approximately 12,000 tapes in total are pulled collectively each week by production staff.
