Description of the contract

Oxleas NHS Foundation Trust is located in South East London and specialises in providing mental health, community health and specialist services across the boroughs of Bexley, Bromley, Lewisham and Greenwich. It currently employs just over 3300 staff. The turnover of staff is around 10% per year. Background to the requirement Due to recent mergers with neighbouring organisations, Oxleas are looking to purchase software and hardware to enable us to produce ID Badges trust wide. A number of our staff often work alone or visit patients at their home, therefore providing everyone with secure ID Cards is essential and is a governance and safeguarding requirement. The badges will initially be used as a form of ID, presenting with employee’s photograph, name, job title and Oxleas NHS Foundation Trust logo. However, it might be considered in the future that cards might be used as access cards into sites via an electronic integrated access control system therefore an option to upgrade to such system is desirable. Purpose The purpose of this tender is to provide: – most suitable for purpose and best value for software and hardware – continuity and flexibility of regular consumables orders delivery as and when required. This is to include cleaning products, cards, ribbons, a choice of badge holders and all other necessary consumables. – annual support and maintenance – the initial set up of hardware and software – an option to upgrade to access system easily in the future should the Trust choose to do so (cards with magnetic stripe). – software and hardware that are compatible with Windows XP, Windows 2000, Windows 7 – we currently run on Novell Servers – A quote based on hardware, software and consumables to produce a volume of 5500 ID Badges in the first 12 months following the purchase. In addition, an estimated quote for consumables to produce an estimated volume of 550 ID Badges annually. – Initial training of around 12 members of staff on the use of the equipment
