With a world drive to reduce Carbon Emissions, companies and homeowners are wanting to meet the government’s target of Net-Zero by 2030. This has seen an uptake in the Renewable Energy sector leading to EEL expanding into larger offices and employing additional Sales Representatives and Project Managers.

2. Project Overview
We are looking to install a SalesForce CRM Platform, which will be linked to a Bespoke Package within the SalesForce platform.
This will enable Management, Sales, and Project teams to have a far greater overview of where the projects currently are in the companies’ pipeline of closure and installation. This is key, especially in the Commercial New Build Sector where Projects can potentially be quoted to numerous Contractors but not finalised or completed for a six-to-twelve-month period with multiple tasks needing completing prior to that.

Existing System/Infrastructure
Currently, we are managing our data on Microsoft OneDrive , all teams have full access to this platform. Projects are currently managed via Excel Spreadsheets and projects costings are now managed either by Xero Projects or by the Project Managers via Excel.

• Configuration and Implementation plan, outlining the timeframe of CRM deployment.
• Data Migration -proposals should include any data migration plans and/or templates to support us.
• Training – proposals should include all training plans and associated costs.

5. Evaluation and Scoring

All proposals will be evaluated based on the delivery of the complete project requirement criteria.

Each criterion stated below with be scored against the point system stated below. The supplier that meets all our requirements will be scored the highest points available. These points will be added, and the highest scored supplier will enable us to make a decision on a preferred supplier to deliver our CRM project.

Highest scored supplier demonstrating their ability to fulfill our project requirement will be awarded the tender.

Evaluation Criteria
1. Overall Project Cost needs to be broken down as indicated project specification.
2. Timescale of Works to be completed – must fall into the timeframe indicated on the specification.
3. Functionality needs to fit the project specification.
4. Software and hardware Implementation plan must interlink and only use the proposed CRM Platform.
5. UK Based Company with SalesForce ranking Silver or Above.
6. Must have a UK-based support team and offer full Implementation and Consultancy Services on a One-to-One Basis.
7. Value for money including ongoing costs, scalability, compatibility.
8. Quotation must include supplier’s name and full business address (on a letterhead document)
9. Quotation must be dated & stipulated validation period (ideally for three months)
10. Quotation must stipulate payment terms.
11. References to similar projects carried out will be required.
12. Full set of companies T&C’S and up to date Insurance Documentation.


Quality of Response
4 – Excellent – Exceptional demonstration by the Supplier, assurance met that relevant requirement is met &/or relevant area meets our expectations
3 – Good – Good demonstration by the Supplier, assurance met that relevant requirement is met &/or relevant area meets our expectations
2- Average – Supplier has provided satisfactory suitability in relevant areas of project/requirements
1 – Poor – Supplier has provided proposals/demonstrations or relevant other information but we have been left with reservations on suitability
0- Unsuitable – Supplier has been unable to assert confidence in relevant area or requirement

*Shortlisted suppliers would also need to provide a comprehensive demonstration, that we may then follow up with further discussions upon that.

6. Selection Process
Proposals will be evaluated based on the criteria as detailed in this document. As part of the selection process, we will score suppliers based on our evaluation criteria stated above.
All proposals will need to demonstrate that the supplier has understood our requirements and further discussion may follow prior to making our final decision.
The successful supplier will showcase a full presentation and a demo of the software will be required with an introduction to the team that will be working on the project.

7. Format of Response
• Companies will need to provide a Full Proposal in PDF Format on Company Letterhead with relevant certifications confirming SalesForce Competence and Client References.
• The proposal must be breakdown the sections as per the above criteria and will need to be indicated and broken down clearly on a full Scope of Works document.
• This project is broken down into two categories, the proposal should clearly indicate the breakdown from the Salesforce package to the Software integration.
• Confirmation that the project can be completed in the timescales required. EEL may apply Penalty clauses for missed target dates.

8. Timescales and Decision
All requests for additional information must be made by: 05/07/2021
Closing date for applications: 06/07/2021
Evaluation will take place within two working days of the closing date for applications.

The decision will be made by the week ending: 30/07/2021
Project Start – W/C 05/08/2021
Expected Live day by – W/C 30/09/2021 or earlier
