Description of the contract
Red Cross wishes to establish a contract for the provision of Video Conferencing services with a suitably qualified and experienced supplier. These services include, but are not limited to:
> Video Conferencing and telepresence services;
> Technical architecture and system design;
> Hardware maintenance, and assistance;
> Supply, delivery, commissioning and installation of equipment;
> Project management; and
> Comprehensive training and support services
Red Cross invites proposals from Tenderers with sufficient experience, capability, capacity and financial standing to undertake the supply, delivery, installation, commissioning, training and maintenance of Video Conferencing and Telepresence Services.
This Contract shall be established for a period of 36 months from the date of award, with the option to extend thereafter on a rolling monthly basis, in accordance with the agreed Contract Fixed Pricing, if agreed between the Parties.
Red Cross has a significant on-going spend and demand for these Services. Traditionally these Services have been procured following direct requests for quotations from individual Service Providers.
However, Red Cross now seeks to conduct an open Tender exercise to ensure that:
> best value is achieved throughout the duration of the Contract;
> a significant Return on Investment is achieved; and
> procurement process that ensures and enables full benefits realisation.
The Supplier shall support the Red Cross in achieving the following benefits:
> tangible cost savings and reductions on the current approach;
> improved quality of service for the Red Cross and its beneficiaries;
> associated cost savings including reduction in travel costs and a solution that facilitates increased business efficiency and enables flexible / remote working and meetings;
> provides an effective way of delivering cost-effective training to staff and volunteers throughout the Red Cross;
> improves management efficiency by enabling quick and effective communication with multiple employees in various locations;
> allows virtual project management via video and data conferencing with geographically dispersed peer groups at short notice;
> increases collaboration between different service departments within the Red Cross and increased productivity;
> a future-proofed VC estate and easier estate management;
> ensures all service requirements are met in full whilst providing an arrangement that is flexible to adapt to our future needs;
> reduces connectivity issues that end users have faced with the current approach; and
> enables business continuity in times of severe weather, disruption or where the Red Cross is responding to disaster.
All of the benefits realised will help assist the Red Cross in delivering our core humanitarian objectives of helping people in crisis, no matter whomever or wherever they are.
