The Outer Hebrides Tourism Industry Association are looking to appoint an agency to design, build and develop an innovative web site that supports their efforts to promote and support the tourism businesses of the Outer Hebrides and conforms to the specifications detailed in the attachment.

The Web Site

A new web site will be created aimed at potential visitors to the Outer Hebrides. The web site will primarily seek to encourage potential visitors to move from initial interest in visiting the Outer Hebrides to actually planning a visit.

The site will contain information about all that the area has to offer the potential visitor, and will seek to put them in touch with the providers who can facilitate their visit. The site will contain information about and supplied by as many of the tourism providers in the area as possible.

The site should try to present the visitor with surprising and fresh information. Many of the sites’ visitors will be aware of the key historical sites (e.g. Calanais stones) or key iconic wildlife species (e.g. Golden Eagle) and these staples must be well covered. However, the real strength to the site will be in suggesting other activities or attractions to the visitor which they may not have been aware of. The hope is that this will tip the balance in encouraging them to visit, and encourage them to stay longer than they otherwise might.

Site visitors will be able to add information to a trip planner, and print off details of all the providers they have added to their planner. They will be encouraged to share their trip planner with others through social media – particularly with family members or others who they will be travelling with.

Finally, the site will put users in touch with providers through an enquiries mechanism which will make it easy for users to take the step from gathering information to actually making moves to book their trip.

Tourism providers will be able to manage their own information on the site and receive enquiries through it. Interactions between site visitors and providers will be monitored to allow the OHTIA to demonstrate value add to the providers, and to ensure a high quality of response to the visitor.

Site administrators will be able to manage the content on the site and other aspects of the site’s operation such as user accounts and provider accounts.

Key Objectives

– Tempt a visitor to the site to consider a visit to the Outer Hebrides.

– Give the visitor information about the surprising and fresh attractions the area has to offer as well as the more well established and well know attractions.

– Suggest relevant activities / attractions to the visitor that encourage them to increase the depth, breadth and length of their future visit.

– Encourage the visitor to start planning a trip.

– Encourage the visitor to share information they have found through the site with others.

– Encourage the visitor to make contact with providers.

– Track interactions with providers to demonstrate value-add to the providers and help to monitor quality of service given to visitors.

3 Conditions for Participation

Minimum standards and qualification required

Functional overview

Any candidate bid should fulfil all of the following functions:

– Be appealing, easy to use and fulfil our key objectives

– Carry the required content and present it effectively

– Work with the various types of content the site needs to display – articles, news, accommodation, events, other providers etc.

– Use mapping elements effectively

– Provide suggestions to a visitor as they navigate the site

– A Trip Planner which allows the user to keep the content they are interested in together in one place, allows them to return to it or save it out in a printable form, and makes it easy for them to generate enquiries to relevant providers

– An Enquiry System which makes it easy for the user to send good quality enquiries to a number of relevant providers at once and allows the providers to receive and manage these enquiries simply and quickly

– Search – content needs to be searchable

– Newsletter sign-up

– Social Networking Tools

– User Roles – there needs to be at least three levels of users on the system – Administrators, Providers and Visitors

– Users should be able to register with the site and then login at a later time to provide continuity of any interactions of the site

– Content Management System and Administrators Control Panel to allow management of content and other elements of the site by key OHTIA personnel

– Provider Control Panel to allow tourism providers to manage their own content / account settings
